Your data is in safe hands with us. Here you can read in plain language which data we collect, why, who we share it with and what your rights are.

1. Who is responsible?
Groen Vlaanderen is a trade name of Groen BV legal form, company number and registered office. We are the controller for the processing of your personal data via this website, by email and phone, and in your customer file.

2. What data do we process?
Only what you fill in or tell us yourself, and only what we need:

Our hosting provider processes technical data such as your IP address to keep the website running securely and to prevent abuse. Which cookies and local storage the website uses is explained in our cookie policy.
Do we also receive contact details from people other than you, for example via a partner? Only fill in if that actually happens: which source and which data.
3. Why do we use your data?

We never sell your data. The calculators make a calculation based on your answers, but there is no automated decision-making with legal effects for you.
4. Who do we share your data with?
Only with parties that help us deliver our service, and never more than necessary:
- Odoo (Odoo S.A., Belgium), which hosts our website, receives the forms in our customer management system and sends out the confirmation emails. confirm Odoo's hosting location and data processing agreement
- Our email provider, for the mailbox info@groenvlaanderen.be and sending the confirmation emails. confirm the name of the email provider
- Our customer management and quoting software, once we start using it. name of the software, once in use
- Technical partners who carry out an installation at your premises, only with the data they need for your assignment.
- Our accountant, and public authorities where the law requires it.
- Google and Meta, only if you give your consent through the cookie notice and only if we enable those services. They are not enabled at this time. See our cookie policy.
We make agreements with these parties on the security and confidentiality of your data. Where a party operates outside the European Economic Area, this only happens with the safeguards required by law.
5. How long do we keep your data?
- A request that does not lead to an assignment: no longer than retention period for requests without an assignment after the last contact.
- Customer data: for as long as necessary for the performance of the work, the warranty and the service, and at least as long as the law requires for accounting and invoicing.
- Your consent to tips and news: until you unsubscribe.
- What the website temporarily stores in your own browser, and for how long, is set out in our cookie policy.
6. Your rights
You may always ask us to access, rectify or erase your data, to restrict the processing or to transfer your data. You may object to processing based on our legitimate interest, and you can always object to the use of your data for direct marketing. You can withdraw any consent you have given at any time, without affecting the lawfulness of what we did on that basis before.
Send your request to info@groenvlaanderen.be. We respond within one month. Sometimes we ask you to prove your identity, so that we do not give your data to someone else.
Not satisfied with our response? You can lodge a complaint with the Gegevensbeschermingsautoriteit (Data Protection Authority), Drukpersstraat 35, 1000 Brussel, www.gegevensbeschermingsautoriteit.be.
7. Security
The website runs entirely over a secure connection (https). Passwords and keys are never stored in the website itself. Access to your data is limited to those who need it for your request or assignment.
8. Changes
If we change this policy, you will always find the new version on this page, with the version number and the date. This is version 1.0 of 9 October 2026, a draft version that has yet to be legally validated.
